What information we collect, use, and why
To provide tutoring services
When you enquire about or engage tutoring services, we collect:
Names and contact details of parents or guardians
Student name, year group, school, and exam board
Academic information including current grades, targets, and areas for development
Payment details (we accept payment by bank transfer only; no card or payment platform data is stored by us)
Records of sessions, progress notes, and correspondence
Lawful basis: Contract — we need this information to provide tutoring services and communicate with you about your child's progress.
To respond to enquiries
When you contact us via the website contact form or by email, we collect:
Name and contact details
Details of your enquiry
Lawful basis: Legitimate interests — responding to your enquiry is in both our interests.
To communicate about sessions
We use email or WhatsApp (via a personal phone number) to communicate with parents, guardians, and in some cases students directly, regarding tutoring services, scheduling, progress, and administrative matters. This means that WhatsApp (Meta Platforms) may process contact names and phone numbers, and message metadata in the course of facilitating these communications. Where students who are under 18 contact us directly via WhatsApp, we are mindful of their additional protections under UK data protection law and limit communications to tutoring-related matters only.
Lawful basis: Legitimate interests — communicating with parents, guardians, and students regarding tutoring services, scheduling, progress, and administrative matters.
To use testimonials and case studies
Where outcomes or feedback are referenced on this website, we collect:
First name or initials and year group only such as "John, Year 13”) — never full names
Brief outcome details (e.g. grade achieved)
Lawful basis: Consent — we will always ask for permission from a parent or guardian before publishing any reference to a student or their results. For adult former students, consent is obtained directly. You may withdraw consent at any time and we will remove the relevant content within a reasonable period after receiving your request.
Website analytics
When you visit this website, anonymised usage information such as pages viewed, device type, and referral source may be collected through Squarespace's built-in analytics tools. This helps us understand how the site is used and how it can be improved.
Lawful basis: Consent — where analytics cookies require consent under applicable cookie laws.
Children's data
Because tutoring services are provided to students who may be under 18, we take particular care with children's personal data. Children's information is processed only to the extent necessary to provide tutoring services, monitor academic progress, and communicate with parents or guardians.
We never publish full student names on this website. Any testimonials or outcome references use first names only, first initial, or anonymised descriptions. Where a student is under 18, consent for any public reference to their data is obtained from a parent or guardian, not the student.
Safeguarding
If we become aware of information suggesting a student may be at risk of harm, we may need to share relevant information with appropriate authorities, schools, parents, guardians, or safeguarding professionals where required by law or where necessary to protect a child's vital interests. Any such disclosure would be made only to the extent necessary and in line with our legal obligations.
Where we get personal information from
Directly from you, via the website contact form, email, or WhatsApp
From parents or guardians acting on behalf of their child
How long we keep information
We do not retain personal data longer than necessary. In practice:
Client and session records — retained for five years from the end of the tutoring relationship, then deleted
Financial records — retained for at least six years to comply with UK tax and accounting requirements
Enquiry correspondence — retained for up to two years if no tutoring relationship begins, then deleted
Testimonial consent records — retained for as long as the testimonial is published, plus two years
How we protect your information
We take appropriate technical and organisational measures to protect personal data, including password-protected devices, secure cloud services, and restricted access to client information. In the event of a data breach that poses a risk to individuals, we will notify the ICO and affected individuals as required by law.
